How to setup User roles and audit trail functionality. In other words, how do I know if this functionality is already active on my system, and if not, how to set it up properly

I have a GCMS 8890 with 5977 and 7697 HS sampler. We do NOT have an ECM server setup for full compliance yet. We do have an installation that I would like to be able to use with audit trails and such for those that work in and access this instrument. 

1. How do I check to see if it is already implemented? I know that the Quant Analysis does provide a detailed set of info when used. I need to have something that I can use for the Acquistion software as well.

2. How do I implement this?

    When this was installed I do not believe it was installed with that.

  • It's part of the configuration chosen during software installation.   The screen capture above is if you re-run setup after the initial installation or go to Windows Add or Remove Programs and choose "Repair".

    or if MassHunter was uninstalled, the new installation looks like this:  Right click and "run as administrator" the software setup.exe file from the software USB drive or DVD you originally used to install the software. 

    Be aware that once it is installed you can't go backwards to Standard Workflow without uninstalling the software.

    During installation of UMAT Mode, four Windows user groups are automatically created:

    • Acquisition Manager
    • Acquisition Analyst III
    • Acquisition Analyst II
    • Acquisition Analyst I

    The Acquisition Manager level user will have access to all permissions and cannot be customized.

    Each of the lower groups will inherit all permissions for groups below it. For example, Acquisition Analyst II will have all privileges that are
    granted to Acquisition Analyst I as well as privileges granted to Acquisition Analyst II.

    After UMAT Mode is enabled, a user must be a member of the local Windows Administrator

    group to launch the msconfig tool. This is done to prevent unauthorized users from changing

    the permissions configuration.

    The permission configuration does not have an audit trail, for this reason a design decision

    was made to require Administrator level access rather than only Acquisition Manager group

    membership to access and modify the instrument configuration and permission configuration.

  • Thank you, Paul, for the great explanation. When this software was installed (along with the GCMS itself), no one in the lab was around to "observe" what was done. I guessed that the UMAT setup had been installed, as the four roles you outlined ARE present.

    I am a scientist here and responsible for making sure many of the instruments "work" as intended. I am quite computer literate as well and sometimes have to "figure out" software to get things working. that being said I am familiar enough with the MassHunter software to get done what we need to get done.

    I am having to write an SOP that governs the administration of the software and since we are a regulated lab (We use Open LAB but the EZChrom version for the other GC and LC units) and need to be able to control access in the software.

    The quantitative software is pretty smart. Whomever is logged on shows up in everything seen in the Audit file so we are good there.

    I tried to assign some of our analysts at lower levels, but they were still able to run amok, being able to access everything.

    Sooooo.....Is there a setting somewhere I am missing that will activate the UMAT system? 

    Call me at 205-914-7142 if you think we can get more done that way. I need to try and get this completed today.

    I managed to get in touch with Ron Tackett, who helped in figuring out the issue. Once we were able to work through the security issues, the system seems to work as I hoped it would. Thank you for all your help in getting this done!
